Partner communication control
Shipment email automation should automate state, not remove judgment.
A controlled shipment email workflow connects one specific request to the shipment, intended partner role, due state, reminder policy, secure response path, review owner, and final outcome. Automation can make waiting visible; it should not turn ambiguous or sensitive decisions into blind sending.

What should shipment email automation include?
Every automated request should identify the shipment without exposing unnecessary data, state exactly what answer or file is needed, show when the team must review silence, and return the response to the same operating record. The recipient, template, schedule, and access boundary should be reviewable before activation.
The FBI's 2025 IC3 Annual Report records 4,566 Business Email Compromise complaints and $568,048,472 in reported BEC losses. These are IC3-reported cybercrime figures—not a measure of logistics email or a prediction of loss—but they make recipient, content, link, and change-control discipline material to any business email workflow.
| Control | Required evidence | Do not automate blindly |
|---|---|---|
| Recipient | Approved partner role and address | A new or changed bank/payment contact |
| Request | One explicit answer, action, or file | An ambiguous multi-decision thread |
| Timing | Due state and bounded reminder policy | Unlimited repeated reminders |
| Response | Scoped link or authenticated return path | Sensitive data in an open email body |
| Escalation | Named internal reviewer and stop rule | A professional or financial decision |
Use a request-to-resolution lifecycle
Treat sending as the start of the workflow, not completion. A response may satisfy the request, answer only part of it, introduce a conflicting value, or arrive after the operating deadline. The system should preserve those states and stop automated reminders when a person must decide.
Read the email automation lifecycle
Define one request and its shipment context. Verify the recipient and preview the message. Send through the approved workflow. Track the due state and bounded reminders. Return the response to the shipment. Route incomplete or sensitive decisions to a person. Retain the reviewed outcome and stop the sequence.
How should teams evaluate safety and usefulness?
Use a non-delivery preview first. Check the recipient role, exposed shipment identifiers, requested data, link behavior, reminder count, timezone, expiry or authentication rule, escalation owner, and stop conditions. Then test failure states: a partial answer, wrong file, expired action, duplicate response, and suspected recipient change.
Measure median time to reviewed response, overdue requests by consequence, duplicate reminders, incorrect recipients prevented before send, and responses that required human escalation. Keep cybercrime statistics separate from product performance; only your own controlled records can establish workflow improvement.
How Tyllus supports partner follow-up
Tyllus organizes shipment-linked partner requests, due states, reminders, responses, supporting files, and owner-visible exceptions. In the guided demo, partner messages are previewed and simulated without contacting real suppliers, forwarders, brokers, or other partners, so an evaluator can inspect the workflow safely.
Tyllus cannot verify every external identity, force a response, approve a changed payment instruction, make a customs decision, or guarantee that a reminder prevents delay or loss. Sensitive changes require independent verification through the organization's approved channel.
Move an open email thread into an owned workflow
Use the migration guide’s handoff template to name the owner, deadline, current file and closure evidence. Its pilot and recovery gates help preserve open work when the operating record changes.
Inspect the workflow before any real message is sent.
Use the guided demo to preview partner requests, response paths, reminders, and escalation states without contacting a real partner.
