Partner coordination
Supplier, forwarder and broker coordination on autopilot
Tyllus coordinates suppliers, freight forwarders and customs brokers for importers. US shipments run an 11-step import workflow (Mexico skips the ISF step), and 9 of those steps send the right partner a request automatically, followed by reminders. Partners answer through secure links without a Tyllus account, and your team is warned when a partner goes quiet. About 45 workflow email templates cover every request and notice.

Which partners does Tyllus coordinate?
Tyllus works with three partner roles: supplier, freight forwarder and customs broker. Each partner is an organization with groups: a primary recipient who receives the request and colleagues who are copied on it.
- Supplier: cargo readiness and shipping documents.
- Freight forwarder: booking, stuffing, MBL and container numbers, arrival and the forwarder invoice.
- Customs broker: ISF filing for US shipments and customs clearance status.
Do partners need a Tyllus account?
No. Partners act through secure links tied to one shipment and one request. They open the link from the email, answer or upload, and the shipment updates; for example, the vessel and voyage come straight from the forwarder's booking confirmation.
Every link expires. A partner who opens an expired link can ask for a fresh one from the same page.
- Set the cargo-ready date.
- Confirm the booking: stuffing date, port of loading, ETD, shipping line, booking number, vessel, voyage and pickup date.
- Confirm the container is stuffed.
- Confirm ISF filing, or give the reason it is not filed yet.
- Upload the shipping documents.
- Submit the master bill of lading and container numbers.
- Confirm customs clearance: cleared, in progress, on hold with a reason, not started or not cleared.
- Confirm arrival, or report a delay with a reason such as vessel delay, port congestion or weather.
- Upload the forwarder invoice.
- Upload missing documents.
Which workflow steps send partner requests?
Nine of the 11 US steps send the right partner a request automatically. The two document checks are run by Tyllus and ask whichever partner provides a missing document to upload it.
Mexico shipments follow the same workflow but skip the ISF step. At customs clearance, the broker confirms the pedimento is validated and paid and the cargo is released.
| Workflow step | Who is asked | What they confirm or upload |
|---|---|---|
| Cargo readiness | Supplier | Cargo ready now, or the date it will be ready |
| Booking | Freight forwarder | Stuffing date, port of loading, ETD, shipping line, booking number, vessel, voyage and pickup date |
| Stuffing | Freight forwarder | That the container is stuffed |
| ISF filing (US) | Customs broker | ISF filed, or the reason it is not filed yet |
| Shipping documents | Supplier | Shipping documents, including the commercial invoice and packing list |
| Tracking details | Freight forwarder | Master bill of lading and container numbers |
| Customs clearance (request 7 days before ETA) | Customs broker | Cleared, in progress, on hold with a reason, not started or not cleared |
| Missing documents check (5 days before ETA) | The partner who provides each missing document | Any document still missing before arrival |
| Arrival | Freight forwarder | Arrival, or a delay with its reason |
| Forwarder invoice (after arrival) | Freight forwarder | The forwarder invoice |
| Final documents check (after arrival) | The partner who provides each missing document | Any required document still missing |
What happens when a partner does not answer?
Each step sends follow-up rounds while the request is open. If the partner stays silent after the last round, Tyllus emails your team a warning, and the step waits for your decision instead of closing on its own.
A “Not ready yet” answer, such as a booking still pending or an invoice not ready, is asked again the next day.
- Automatic follow-up rounds on every step while the request is open.
- A warning email to the importer when a partner stays silent.
- “Not ready yet” answers asked again the next day.
- A fresh link on request when a partner opens an expired one.
- Overdue steps raise a manual-action prompt in the “Needs your attention” panel.
Can your team step in or pause the emails?
Yes. Every step has a step card with two actions: Complete now, to record the answer yourself, and Request now, to send the partner's request immediately instead of waiting for its scheduled time.
Automatic emails can be paused for any single shipment while the rest of your shipments keep running.
Which emails does Tyllus send?
Tyllus uses about 45 workflow email templates: partner requests, reminders, importer warnings, document requests, information notices and cancellation notices.
Mexico shipments get Mexico-specific versions where the steps differ, including customs clearance with the pedimento. Every request carries its own secure link, so the partner answers straight from the email without signing in.
